Terms of service

These terms govern use of the Pre-entries website and app (the service). By using the service you agree to them and to our privacy policy. If you do not agree, do not use the service.

Who we are

The service is operated by Ben Mitchell, a sole trader trading as Pre-entries, at 21 Heol Wenallt, Cwmgwrach, Neath, SA11 5PT. Email ben@pre-entries.co.uk. ICO registration ZB394169.

Age

You must be 13 or older to use the service. If you are under 13, a parent or guardian must agree to these terms and enter on your behalf. Junior entries should include a parent or guardian contact where the form asks for one.

Using Pre-entries

Competitors may enter events without creating an account. Club admins, organisers, and platform owners (officials) sign in with an email one-time code to manage events. You must give accurate details. If you enter for someone else, use that competitor’s details.

We grant you a limited, non-exclusive licence to use the service to enter events and, if you are an official, to run club events on Pre-entries. You must not misuse the service, impersonate anyone, interfere with it, or break the law.

Entries and payment

The price shown at checkout is calculated on our servers. That quote is the price you pay. Money is taken on our Stripe account. After the event, we transfer the club’s balance. Stripe’s card fee and our service fee are described on Pricing.

By submitting an entry you agree to the organiser’s event terms, British Orienteering competition rules where they apply, and these terms. You confirm the details are accurate and accept orienteering’s inherent risks. Results and start lists may publish competitor details as described in the privacy policy.

Cancellation and refunds

Event entries are for a leisure activity on a specific date or period. The usual 14-day right to cancel under the Consumer Contracts Regulations 2013 does not apply (regulation 28).

Refunds before the first entry deadline are the entry total minus the original Stripe card fee share and the Pre-entries service fee. Those fees stay with us. After that deadline, refunds are at the organiser’s discretion. We do not add a separate refund charge.

Where the organiser allows it, you can amend or cancel an entry yourself until the date shown on the event. After that, ask the organiser.

Start lists and profiles

Public start lists show name, club, age class, SI card, and course or class. They do not show email or emergency contact. A competitor profile, if saved, is keyed on a British Orienteering number and holds start-list-style fields only. Entering an event does not save or change that profile.

Intellectual property

The service, including its design and content we provide, is owned by Pre-entries or our licensors. Event names, course details, and club marks belong to the clubs that supply them.

If something goes wrong

We provide the service as it is. We aim to keep it available, but we do not promise it will be uninterrupted or error-free. Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any liability that UK law does not allow us to limit.

We are not liable for loss of profit, data, or other indirect loss arising from use of the service, except as that law requires. Our total liability for a paid entry is limited to the amount paid for that entry.

Changes and ending use

We may update these terms. The date at the top of this page will change. Continued use after an update means you accept the new terms. We may suspend or end access if you break these terms or we have to for legal or operational reasons.

Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have jurisdiction, without affecting any rights you have as a UK consumer to bring a claim in your home courts.
